This temporary Senior Administrative Associate role offers up to $28/hour (depending on experience) and runs 3-6 months, working onsite from 8:30 a.m. to 5:00 p.m. at a major Boston‑based medical institution. The position supports a highly specialized clinical department and requires strong organizational capabilities, attention to detail, and the ability to manage sensitive information in a fast‑paced healthcare environment. Job Responsibilities
- Maintain departmental recordkeeping systems, including sensitive administrative and financial data; update databases, verify data accuracy, and generate reports.
- Reconcile budget and expense reports, research discrepancies, and prepare financial and grant-related materials.
- Coordinate daily administrative operations including payroll, compliance documentation, personnel actions, and form processing.
- Support fellowship/residency programs by managing applications, scheduling interviews, preparing credentialing documents, and maintaining records.
- Plan and coordinate logistics for seminars, conferences, and special events, including materials, registration, and budgeting.
- Schedule meetings and appointments, manage calendars, and arrange travel accommodations.
- Oversee supply inventory, manage equipment servicing, and liaise with support departments.
- Produce correspondence, reports, charts, and other documents-including confidential materials-through transcription or drafted content.
Candidate Qualifications
- Associate's degree required; Bachelor's degree preferred.
- 3+ years of administrative experience, ideally in healthcare or higher education.
- Strong data management, organizational, and communication skills.
- Experience with financial reconciliation, reporting, and document preparation.
- Ability to handle confidential information with discretion.
- Familiarity with Epic is a plus.
