Our client, a global alternative asset management firm, is seeking a Temporary to Permanent Executive Assistant to support members of the Human Capital team in their NYC office. The hours are 9am- 6pm (flexibility to extend as needed) and this role is in the office 3 days per week with 2 days from home. Must have flexibility to come in additional days as needed.
Responsibilities:
- General administrative duties including heavy calendaring, travel management, expense reimbursement management and confidential and sensitive document preparation
- Meeting planning, preparation, oversight, and logistics execution
- Handle highly confidential information with discretion
- Develop strong understanding of team goals and align work to support those goals in collaboration with colleagues
- Balance multiple priorities, adjust as needed, and achieve desired outcomes
- Foresee, research, and address potential issues, and new needs as they arise
- Listen to the needs of others, respond and adapt, and build relationships of trust across diverse teams
Qualifications:
- 5+ years of relevant administrative experience required with 3+ years as an EA (financial industry background preferred)
- Mastery of Microsoft Office Suite (Excel, Word, Outlook, PowerPoint, etc.)
- Clear, concise, accurate, communication skills
- Demonstrated integrity and discretion
- High attention to detail, with the ability to multi-task in a fast-paced environment with a sense of urgency, accuracy and professionalism
- Flexible to troubleshoot and handle after-hours business needs as necessary
- Exceptional organizational and time management skills; ability to set and achieve priorities while working with multiple team members, several moving pieces at a time, and frequent status changes
- Partnering, rapport-building, and relationship management skills
- Ability to balance teamwork with self-direction and drive to solve practical problems and deliver results
- Initiative to seek learning opportunities and take on new tasks/responsibilities as assigned
