Overview
Seeking an experienced Executive Assistant to provide proactive administrative support and ensure seamless day‑to‑day operations. This role requires exceptional organization, strong judgment, and the ability to manage sensitive information with the highest level.
Responsibilities
- Provide comprehensive administrative support, including complex calendar management, travel coordination, and expense reporting
- Prepare, review, and handle highly confidential documents and communications
- Plan and execute meetings, including scheduling, materials preparation, logistics, and follow‑through
- Develop a deep understanding of team priorities and align administrative activities to support organizational goals
- Navigate competing priorities with flexibility, urgency, and accuracy
- Anticipate needs, conduct research when required, and proactively address emerging issues
- Build strong relationships across teams by actively listening, adapting to needs, and fostering trust
Qualifications
- 5+ years of relevant administrative experience, including 3+ years supporting executives; experience in fast‑paced or high‑stakes industries preferred
- Advanced proficiency in Microsoft Office (Outlook, Excel, Word, PowerPoint)
- Excellent written and verbal communication skills with a focus on clarity and accuracy
- Proven ability to manage confidential information with integrity and sound judgment
- High attention to detail and ability to multitask in a dynamic environment
- Flexibility to address urgent or after‑hours needs when necessary
- Outstanding organizational and time‑management skills, with the ability to balance multiple stakeholders and shifting priorities
- Strong relationship‑building skills and collaborative work style
- Self‑directed problem-solver with the initiative to learn and take on new responsibilities
