Our client is seeking a highly experienced, fast‑paced, and globally minded Executive Assistant to support a team of investment professionals within a top‑performing hedge fund. This role requires exceptional judgment and the ability to operate seamlessly across time zones during high‑intensity market periods. Hours are 8:00am-6:00pm, and the position is hybrid with three days in office (Tuesday-Thursday).
Key Responsibilities:
- Provide comprehensive administrative support across global teams, including heavy calendar management, scheduling, and communication across multiple time zones
- Coordinate complex domestic and international travel, including multi‑stop itineraries, accommodations, and last‑minute adjustments
- Prepare briefing materials, meeting documents, pre‑reads, and follow‑up notes; maintain updated shared calendars and meeting trackers
- Serve as a point of contact for senior executives, investors, portfolio companies, and external partners, ensuring polished, discreet communication
- Assist with global event coordination, including conferences, off‑sites, and high‑profile meetings
- Process monthly expenses with accuracy and maintain records of corporate, travel, and event costs
- Support urgent requests and critical campaigns, requiring responsiveness outside normal business hours
Qualifications:
- Bachelor's degree required
- 4-7+ years of Executive Assistant experience supporting multiple senior leaders in a fast‑paced, global, or financial services environment
- Exceptional organizational skills with strong attention to detail and the ability to multi‑task under pressure
- Excellent written and verbal communication skills; polished, professional, and discreet
- Proven ability to handle confidential information with sound judgment
- Flexibility to manage shifting priorities and global time‑zone coordination
- Highly proactive, self‑directed, and collaborative, with a strong team‑oriented mindset
- Proficiency in Microsoft Office; familiarity with CRM tools (Backstop a plus)
