Our client is seeking a highly organized and adaptable Executive Assistant to support senior leaders on a fast‑paced team. This role requires exceptional communication, calendar management, and coordination skills with the ability to support executives who maintain heavy scheduling, frequent events, and consistent expense workflows. Hours are typically 8:30am-5:30pm with flexibility for occasional overtime, and the position is hybrid with four days onsite and remote flexibility as needed.

Key Responsibilities:

  • Manage complex calendars for two senior leaders with high‑volume scheduling, recurring conflicts, and coordination across multiple departments
  • Coordinate travel arrangements, including itineraries, accommodations, and logistics for both business travel and frequent networking events
  • Oversee expense reporting with accuracy and timeliness, often for multiple executives
  • Prepare meeting materials, agendas, documentation, and support follow‑up communication
  • Assist with project coordination, data entry, reporting, and administrative tasks as requested
  • Serve as a resource for internal and external communication, maintaining responsiveness and professionalism
  • Support onboarding logistics, training coordination, and team‑wide operational tasks when needed
  • Handle occasional ad hoc projects requiring independent problem‑solving and strong judgment

Qualifications:

  • 3+ years of Executive Assistant experience; open to more junior candidates with strong aptitude
  • Strong communication skills and the ability to work effectively with senior leaders
  • Excellent organizational ability and attention to detail in a fast‑moving environment
  • Ability to multitask and prioritize shifting needs across multiple executives
  • Proficiency with Microsoft Office and comfort navigating new systems
  • Reliable, flexible, and team‑oriented with a strong sense of accountability
  • Bachelor's degree preferred
