Beacon Hill is hiring a contract Administrative Assistant to support a growing energy company in Evansville, IN. This position plays a critical role in helping the leadership team stay organized and efficient.
Responsibilities:
- Provide daily administrative support to leadership and cross-functional teams within a fast-paced energy environment
- Manage calendars, schedule meetings, and coordinate logistics for internal and external stakeholders
- Prepare, format, and distribute reports, presentations, and internal communications
- Maintain organized filing systems (electronic and physical) for contracts, project documentation, and compliance records
- Support project coordination efforts, including tracking timelines, deliverables, and follow-ups
- Handle incoming calls, emails, and correspondence with professionalism and urgency
- Assist with invoicing, expense tracking, and basic data entry related to operational activities
- Coordinate travel arrangements, meeting agendas, and event planning as needed
- Serve as a liaison between departments to ensure smooth communication and workflow
- Order office supplies and support general office operations to maintain an efficient workplace
Requirements:
- Prior administrative experience preferably within energy, utilities, engineering, or a related industry
- Strong organizational skills with the ability to manage multiple priorities and deadlines
- Excellent written and verbal communication skills
- High attention to detail and accuracy in all work
- Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint)
- Ability to handle confidential information with discretion
- Comfortable working in a fast-paced, team-oriented environment
- Associate or bachelor’s degree preferred but not required
