Beacon Hill has partnered with a technology company in downtown Chicago in hiring an Executive Assistant to support one of their Principals. This position plays a critical role in ensuring the principal’s day-to-day business and personal priorities are executed seamlessly
Responsibilities:
- Provide high-level, day-to-day support to the principal across both business and personal matters
- Manage an ever-changing calendar, prioritizing meetings, resolving conflicts, and ensuring alignment with business goals and personal commitments
- Coordinate complex domestic and international travel, including flights, accommodations, transportation, and detailed itineraries
- Act as a gatekeeper and liaison, fielding communications and ensuring the principal’s time is used effectively
- Anticipate needs by staying several steps ahead-proactively preparing materials, tracking deadlines, and managing follow-ups without prompting
- Handle confidential information with the utmost discretion and professionalism
- Draft and manage correspondence, presentations, and documents with a polished and executive-level tone
- Oversee personal logistics including appointments, reservations, household/vendor coordination, and special projects
- Support business operations by assisting with meeting preparation, note-taking, and project coordination
- Maintain organized systems for files, contacts, expenses, and key information to ensure seamless access and efficiency
- Manage expenses, reimbursements, and light budgeting for both business and personal activities
- Coordinate events, meetings, and hospitality needs with a high level of attention to detail
- Build strong relationships with internal stakeholders, external partners, and personal contacts on behalf of the principal
- Exercise sound judgment in decision-making, often acting on behalf of the principal when appropriate
Requirements
- 5+ years of experience supporting a C-level executive or high-profile individual in a blended business/personal capacity
- Highly polished, professional demeanor with exceptional communication skills (written and verbal)
- Proven ability to anticipate needs and operate proactively with minimal direction
- Strong organizational skills with the ability to manage competing priorities in a fast-paced environment
- High level of discretion and experience handling sensitive, confidential information
- Detail-oriented with a commitment to accuracy and follow-through
- Tech-savvy with proficiency in Microsoft Office, calendar management tools, and expense platforms
- Flexible and adaptable, with a “no task too big or small” mindset
- Strong problem-solving skills and ability to remain calm under pressure
- Demonstrated ability to build trust and maintain strong working relationships
- Bachelor’s degree preferred
