Position Overview
The Senior Legal Billing Specialist is responsible for leading and executing complex legal billing processes to ensure timely, accurate invoice preparation and compliance with client guidelines. This role serves as a subject‑matter expert in legal billing systems, e‑billing platforms, matter management, and guidelines enforcement. The specialist will collaborate closely with attorneys, paralegals, and finance leadership to streamline billing workflows, resolve discrepancies, and support overall revenue cycle efficiency.
Key Responsibilities
Billing & Invoicing
- Prepare, review, and finalize monthly client invoices in accordance with firm and client‑specific billing guidelines.
- Manage high-volume and complex billing portfolios, including split billing, consolidated billing, alternate fee arrangements (AFAs), and retainer management.
- Ensure compliance with LEDES formats, UTBMS codes, and e‑billing requirements.
- Review time entries for accuracy, compliance, narrative quality, and required adjustments.
E‑Billing & Compliance
- Submit invoices through various e‑billing platforms (e.g., CounselLink, Legal Tracker, Serengeti, TyMetrix).
- Monitor invoice status, appeals, rejections, and reductions, ensuring timely resolution of any issues.
- Serve as an internal expert on client billing guidelines and policies.
Coordination & Communication
- Partner with attorneys and practice groups to address billing questions, fee arrangements, and client requirements.
- Communicate with clients' billing departments to resolve discrepancies or payment delays.
- Train junior billing staff and act as a resource on billing procedures and systems.
Financial Operations & Reporting
- Support month-end closing by preparing billing reports, accruals, and unbilled time analysis.
- Assist accounts receivable with follow-up on outstanding invoices and collections.
- Help develop and implement improvements in billing workflows and controls.
Qualifications
Required
- 4-6+ years of legal billing experience in a law firm or corporate legal department.
- Strong knowledge of legal billing procedures, e‑billing systems, LEDES formats, and UTBMS coding.
- Experience with legal time & billing software (e.g., Aderant, Elite 3E, Clio, Juris).
- Excellent attention to detail, organizational skills, and accuracy.
- Strong communication and problem‑solving skills.
Preferred
- Experience with complex billing arrangements or large-firm environments.
- Familiarity with AFAs, rate structures, and matter management workflows.
- Intermediate to advanced Excel skills.
