Position Summary
The Senior Billing Manager oversees the full billing lifecycle for the firm, ensuring accurate, timely, and compliant billing for all legal services. This role works collaboratively with attorneys, practice group leaders, finance leadership, and clients to streamline billing operations, enhance financial performance, and maintain billing integrity. The Senior Billing Manager leads a team of billing specialists and is accountable for implementing best practices, improving processes, and driving operational efficiency across the billing function.
Key Responsibilities
Billing Operations & Management
- Oversee end-to-end billing processes, including prebills, edits, final invoices, e‑billing, write-offs, adjustments, and billing compliance.
- Manage and distribute monthly prebills, ensuring accuracy and quick turnaround.
- Supervise the preparation and submission of e‑billing invoices via platforms such as LegalTracker, CounselLink, Serengeti, Tymetrix, and others.
- Maintain attorney billing preferences, client guidelines, and rate structures.
- Conduct audits to ensure compliance with client billing guidelines, LEDES formats, UTBMS codes, and internal quality standards.
Leadership & Team Management
- Lead, mentor, and develop the billing team, creating a culture of accuracy, accountability, and continuous improvement.
- Oversee hiring, training, performance evaluations, and workflow assignments for billing staff.
- Partner with the Finance leadership team to develop team KPIs and performance goals.
Financial Analysis & Reporting
- Collaborate with attorneys and practice group leaders to support billing and collections performance.
- Prepare and analyze monthly billing metrics, aging reports, realization, and WIP reporting.
- Identify billing bottlenecks, trends, and opportunities for efficiency improvements.
Attorney & Client Support
- Serve as the primary point of contact for billing inquiries from attorneys, clients, and internal stakeholders.
- Consult with partners and attorneys on billing strategies, rate negotiations, budgeting, and client expectations.
- Resolve complex billing issues, disputes, and escalations.
Process Improvement & Systems Management
- Optimize workflow using billing software such as Aderant, Elite 3E, or similar law firm systems.
- Develop and implement billing policies, SOPs, and best practices.
- Partner with IT and Finance teams to enhance billing automation, reporting capabilities, and system integrations.
Qualifications
Education & Experience
- Bachelor's degree in Accounting, Finance, Business Administration, or related field preferred.
- Minimum 7-10 years of law firm billing experience, including 3+ years in a supervisory or management role.
- Strong familiarity with legal billing systems (Aderant, Elite 3E, or similar) and e‑billing platforms.
- Deep understanding of UTBMS task codes, LEDES billing standards, and law firm client guidelines.

- High attention to detail with a commitment to billing accuracy.
- Ability to manage multiple deadlines in a fast‑paced environment.
- Exceptional communication and interpersonal skills, with the ability to collaborate with attorneys and clients.
- Proficiency in Excel and financial reporting tools.
