Position Summary

We are seeking an experienced Payroll Manager to lead our payroll operations for approximately 500-600 employees across multiple states. This remote position offers the opportunity to manage and develop a small but critical team while ensuring accurate, compliant, and timely payroll processing. The successful candidate will work closely with our finance and HR departments to maintain seamless payroll operations and drive continuous improvement initiatives.

Key Responsibilities

Team Leadership & Management

  • Supervise and manage payroll department staff, providing guidance, training, and performance management
  • Conduct regular performance reviews and identify professional development opportunities
  • Foster a collaborative team environment focused on accuracy and efficiency

Payroll Operations

  • Oversee end-to-end payroll processing for multi-state employee base using UKG (Ultimate Kronos Group) system
  • Ensure accurate and timely processing of regular and off-cycle payrolls
  • Review and post payroll journal entries, preparing manual entries as required
  • Calculate manual net/gross pay and tax withholdings when necessary
  • Process wage garnishments, tax liens, and other legal deductions

Benefits & Deductions Management

  • Manage employee status changes for benefits, 401(k), and other payroll deductions
  • Coordinate with HR to ensure accurate benefit enrollment and termination processing
  • Maintain detailed records of all deduction changes and employee communications

Compliance & Audit Support

  • Ensure full compliance with federal, state, and local payroll laws and tax regulations
  • Maintain accurate payroll records including earnings, taxes, deductions, and leave balances
  • Reconcile and balance payroll accounts in preparation for audits
  • Coordinate with external auditors during payroll tax audits and provide necessary documentation
  • Stay current on changing payroll regulations and implement required updates

Process Improvement & Policy Development

  • Develop and implement payroll policies and procedures to enhance efficiency and compliance
  • Identify opportunities for process automation and system improvements
  • Create and maintain comprehensive payroll documentation and procedures

Cross-Functional Collaboration

  • Work closely with HR and finance departments to resolve payroll discrepancies
  • Serve as primary point of contact for payroll-related inquiries from employees and management
  • Participate in system implementations and upgrades as needed

Required Qualifications

Experience & Education

  • Bachelor's degree in Accounting, Finance, Business Administration, or related field preferred
  • Minimum 5+ years of proven payroll management or supervisory experience
  • Strong understanding of multi-state payroll processing and regulations
  • Experience managing payroll for organizations with 300+ employees

Technical Skills

  • Proficiency in UKG (Ultimate Kronos Group) payroll system strongly preferred
  • Advanced knowledge of Microsoft Office Suite, particularly Excel
  • Experience with payroll software implementations and system troubleshooting
  • Understanding of payroll tax regulations across multiple jurisdictions
