Our client, a respected professional services firm, is seeking a Billing Specialist to join its accounting and finance team. This position offers the opportunity to play a key role in managing the firm's client billing process from start to finish. The ideal candidate is analytical, detail-oriented, and comfortable balancing multiple deadlines in a professional services environment.
Position Overview
The Billing Specialist will be responsible for preparing, reviewing, and finalizing client invoices; ensuring compliance with client-specific billing arrangements; and supporting the firm's broader financial operations. The role works closely with attorneys, administrative staff, and the finance department to ensure timely and accurate billing.
Key Responsibilities
Coordinate the full billing cycle, including time entry review, prebill generation, and final invoice preparation.
Review and edit draft invoices in collaboration with attorneys to ensure accuracy and adherence to client guidelines.
Distribute finalized invoices and follow up on outstanding balances in coordination with the finance team.
Maintain accurate records of client billing arrangements, matter-specific rates, and alternative fee agreements.
Prepare periodic reports summarizing billing activity, collections, and aging accounts.
Record incoming payments and reconcile client accounts to confirm proper application.
Support the accounts payable process as needed, including vendor invoice processing and credit card reconciliations.
Assist with ad hoc financial projects, reporting requests, and month-end close activities as assigned.
Qualifications
Bachelor's degree in Accounting, Finance, Business Administration, or related field.
2+ years of experience in billing, accounting, or finance-law firm or professional services experience preferred.
Strong proficiency with Excel and general familiarity with time and billing systems.
Excellent communication, problem-solving, and organizational skills.
High attention to detail and the ability to manage competing priorities with professionalism.
