Our St. Louis office is seeking a Litigation Administrative Assistant to support attorneys in our Disputes practice. This position provides a wide range of administrative and practice support, including document preparation, organization, research, and client assistance.
The ideal candidate is proactive, detail-oriented, and thrives in a fast-paced environment. We are looking for someone who takes initiative, demonstrates professionalism, and enjoys working collaboratively as part of a team.
Key Responsibilities
Prepare, edit, and finalize legal documents, correspondence, pleadings, and other materials.
Proofread all documents for accuracy, grammar, and content.
Manage attorney calendars, including scheduling meetings, depositions, and conference calls, and reserving conference rooms or off-site venues.
E-file with various courts.
Organize and maintain client files-both paper and electronic-within the firm's document management system (FileSite/iManage).
Assist with new client and new matter intake, including conflict checks, engagement letters, and budget preparation.
Support billing functions: review and edit pre-bills, track invoices, and follow up on outstanding payments.
Enter attorney time and monitor work in progress and accounts receivable.
Communicate with clients, outside counsel, and firm departments to coordinate tasks and ensure timely completion of projects.
Track deadlines, case status, and coordinate with the docketing department.
Qualifications
6+ years of legal support experience, within a law firm.
Litigation experience strongly preferred.
Associate's or Bachelor's degree preferred.
Proficiency with Microsoft Office Suite and Adobe Acrobat.
Experience with litigation calendaring systems (Milana preferred).
Exceptional attention to detail and organizational skills.
Strong written and verbal communication abilities.
Demonstrated ability to manage multiple priorities and meet deadlines.
Team-oriented mindset with the ability to work independently when needed.
Flexibility to work overtime as needed.
