A reputable Chicago law firm is seeking an experienced Legal Secretary / Legal Assistant to provide high-level administrative and legal support to attorneys and paralegals in a busy litigation practice. The ideal candidate is detail-oriented, highly organized, and capable of managing a broad range of responsibilities in a fast-paced legal environment.

Key Responsibilities:

  • Draft, revise, format, and proofread legal documents, correspondence, and filings
  • Manage electronic and physical files, including organization, storage, and periodic review using iManage
  • Handle incoming/outgoing mail, scanning, copying, and document preparation
  • Schedule meetings, conference calls, and travel arrangements; maintain attorney calendars via Outlook
  • Prepare court filings, coordinate service of pleadings, and assist with deposition and trial preparation
  • Process attorney time entries, expense reports (ChromeRiver), billing (Intapp), and related documentation
  • Open and close client matters, ensuring compliance with conflict procedures and firm protocols
  • Maintain attorney contacts and assist with administrative tasks such as transcription and research
  • Collaborate with internal teams and provide backup support to secretarial colleagues across practice groups

Qualifications:

  • Minimum 5 years of legal secretarial experience, with strong litigation background
  • High school diploma or GED required
  • Proficiency in MS Office and legal technology platforms; experience with document and billing systems preferred
  • Excellent communication, organizational, and time management skills
  • Ability to work independently, prioritize multiple tasks, and meet deadlines
  • Professional demeanor, discretion, and flexibility to work overtime as needed
