Legal Administrative Assistant - Position Overview
Overview of Qualifications:
We are seeking a detail-oriented and professional Legal Administrative Assistant to support our legal team for a well-respected law firm located in Cleveland. Ideal candidates will possess a strong foundation in legal office operations and terminology, along with excellent communication and organizational abilities. A proactive attitude, sound judgment, and the ability to manage time efficiently are critical in this role.
Key Competencies:
Familiarity with legal procedures and terminology
Proficient in using legal office software and general office technology
Strong written and verbal communication skills
Highly organized with an eye for detail
Ability to manage sensitive information with discretion
Comfortable working independently and collaboratively
Excellent interpersonal skills and a client-focused mindset
Primary Responsibilities:
Welcome guests and direct them to appropriate team members
Answer phone calls, manage voicemail, and respond to routine inquiries
Assist in preparing materials for meetings, reports, and special functions
Schedule and coordinate meetings, including virtual conferencing
Maintain communication with clients in a professional manner
Handle general office duties such as scanning, filing, and document preparation
Draft, edit, and format legal correspondence and internal communications
Organize and maintain electronic and physical client files
Oversee outgoing mail and ensure timely correspondence
Support the preparation and formatting of legal documents, including pleadings, contracts, and memoranda
Maintain and update key legal documents and records
Enter contract data into document systems and verify accuracy
Provide event coordination support as needed
Technology Proficiency:
Experience with document management systems such as NetDocuments
Skilled in Microsoft Office applications: Word, Excel, Outlook, PowerPoint
Familiarity with WordPerfect
Time tracking software such as LeanLaw
PDF editing tools like Adobe Acrobat Pro
