Legal Administrative Assistant
St. Louis, MO | Hybrid Schedule (3 Days Onsite / 2 Remote)
Salary: Up to $85,000/year (based on experience)
Beacon Hill Legal is assisting a well-respected St. Louis law firm in identifying an experienced Legal Administrative Assistant to support multiple partners at this firm. This role offers a dynamic mix of administrative, organizational, and client-support responsibilities in a professional, team-oriented environment.
The ideal candidate is dependable, detail-oriented, and proactive-someone who enjoys keeping things running smoothly and takes pride in producing polished, accurate work.
Key Responsibilities
Prepare, edit, and finalize legal documents including correspondence, memoranda, briefs, motions, and pleadings.
Proofread all materials for grammar, accuracy, and consistency.
Manage attorney calendars and coordinate meetings, depositions, conference calls, and events (both onsite and offsite).
E-file documents with various courts and maintain up-to-date knowledge of filing procedures and deadlines.
Organize and maintain electronic client files in the firm's document management system (FileSite or iManage).
Assist with new client and matter intake, including conflict checks, engagement letters, and budget tracking.
Review and edit pre-bills, track outstanding invoices, and assist with billing inquiries or appeals as needed.
Enter attorney time and track work in progress and receivables.
Communicate and follow up with clients, opposing counsel, and internal teams as necessary.
Maintain and update contact lists, coordinate mailings, and prepare labels and correspondence.
Track case deadlines and coordinate with attorneys and docketing staff to ensure timely filings.
Provide support to other legal assistants and paralegals as needed across the practice group.
Qualifications
Minimum 2 years of administrative or legal support experience in a law firm or professional services environment (litigation experience preferred).
Associate's or Bachelor's degree preferred; Associate's degree required.
Proficiency in Microsoft Office Suite and Adobe Acrobat.
Experience with litigation calendaring software (Milana preferred).
Excellent attention to detail, organization, and time management skills.
Strong written and verbal communication abilities.
Dependable, proactive, and able to prioritize in a fast-paced setting.
High degree of professionalism, discretion, and confidentiality.
Additional Details
Schedule: 37.5-hour work week; hybrid schedule (3 days in-office / 2 days remote).
Compensation: Up to $85,000/year, commensurate with experience.
