Innovative investment firm is seeking a high-level Executive Assistant to support their General Counsel and Partners.
- Person MUST have a Bachelors from a top school
- MUST have 3+ year's Executive Assistant experience
Job Description:
Executive Assistant will support the team by handling various administrative, clerical, and project related tasks. This role requires attention to detail, solid organizational skills, and the ability to meet tight deadlines while juggling multiple critical requests across teams and working closely with Executive Assistants throughout the organization. The individual in this role must understand business priorities, demonstrate the ability to proactively anticipate needs and drive improvements. The successful candidate will possess the ability to complete complex tasks quickly with little to no guidance, react with appropriate urgency to situations that require a quick turnaround, and take effective action without having to know the whole picture. We are looking for someone motivated, with a proven history of high performance and the ability to operate under pressure. The ideal candidate is confident, enthusiastic, resourceful, tech-savvy, forward-thinking, self-motivated, and a creative problem solver. A relentless bias for action and effective communication at all levels is a must. This person will have a high level of integrity and discretion in handling confidential information and professionalism in dealing with senior executives.
DUTIES & RESPONSIBILITIES
- Manage complex calendar and scheduling
- Manage expense report coordination and submission
- Work closely with the leadership team and our business partners
- Partner with other assistants throughout the team and across the company
- Document writing, editing, and readiness
- Demonstrated ability to prioritize and handle multiple assignments while maintaining a commitment to deadlines and long-term goals
- On occasion manage domestic and international travel
EDUCATION, KNOWLEDGE & EXPERIENCE
- Bachelor's degree from a top school
- 5 + years of experience as an Executive Assistant, Project Manager, and/or Administrator Strong tenure coming from a reputable organization
- Excellent knowledge using Microsoft Office, Video Conference Software, and additional technologies Keen eye for detail, organized, and meticulous
- Able to use sound judgment on decisions and time management (quiet vs. demanding days)
- Strong administrative and organizational skills
- Exceptional written, verbal, and interpersonal communication skills
- Ability to work in a highly ambiguous environment
- Ability to prioritize and handle multiple assignments at any given time
- Desire and aptitude for learning new concepts on the job
