Beacon Hill is seeking a highly organized and detail-oriented Family Law Legal Assistant to provide comprehensive support to boutique law firm in West Chester, PA. This role involves drafting, editing, and organizing legal documents, managing attorney calendars, interacting with clients, and assisting with all administrative tasks in a fast-paced, deadline-driven environment. The ideal candidate will be proficient in legal procedures, possess excellent communication skills, and have family law experience .

Essential Duties and Responsibilities:

  • Type, edit, and compile legal documents, correspondence, memoranda, and related materials.
  • Review documents for completeness, typographical, formatting, and grammatical errors.
  • Transcribe digital dictation and handwritten documents accurately and efficiently.
  • Photocopy, file, email, and fax documents as required.
  • Prepare and process legal documents with courts and other agencies, including e-filing.
  • Bates label and organize documents for e-discovery requests.
  • Review, sort, date stamp, scan, file, and distribute incoming mail for assigned attorneys.
  • Respond to client inquiries, providing non-legal information and ensuring appropriate follow-through or resolution.
  • Maintain and organize both electronic and hardcopy files in iManage according to firm-defined procedures.
  • Ensure the effective delivery of outgoing messenger deliveries and overnight deliveries.
  • Enter attorneys' time in TABS, review pre-bills, coordinate attorney review and approval, process changes, and finalize bills.
  • Conduct conflict checks and open new matters following firm-defined procedures.
  • Close files in accordance with firm policies and procedures.
  • Manage and maintain attorney calendars in PracticeMaster and Outlook, scheduling meetings, ensuring court dates are entered, and arranging conference rooms as necessary.
  • Enter calendar reminders and notify attorneys of pending deadlines to ensure compliance.
  • Collaborate effectively with other legal assistants, paralegals, support staff, and firm administration to provide comprehensive support to the firm.
  • Perform notary duties as required.
  • Assist with other clerical duties as assigned.
  • Technical proficiency in Microsoft Outlook, Word, and Excel; experience with TABS3 legal accounting software, Kofax Power PDF Advanced, and iManage document management is preferred.
