AI Program Specialist / Coordinator

Overview:
Seeking a highly organized and proactive professional to support planning, coordination, and execution of enterprise-wide AI initiatives. This role blends program management, project coordination, and strategic communications, driving awareness and education around human-centered AI adoption across multiple business groups.

The ideal professional is passionate about AI and automation, thrives in ambiguous environments, and enjoys building structure, managing logistics, and connecting cross-functional teams.

Key Responsibilities

  • Coordinate and execute AI-focused initiatives, campaigns, and learning programs across creative and technical teams.
  • Manage logistics for educational events, demos, and workshops (scheduling, promotion, registration, streaming, and on-site coordination).
  • Maintain internal knowledge hubs, communication sites, and AI resource materials.
  • Support creation of newsletters, one-pagers, and updates that communicate progress and initiatives.
  • Track engagement metrics and feedback to refine content and improve reach.
  • Partner with stakeholders to ensure consistency, collaboration, and visibility across departments.

Must-Have Qualifications

  • 3-6 years in a project coordinator, program manager, or production coordinator capacity.
  • Proven ability to manage projects, timelines, and logistics across multiple workstreams.
  • Strong communication skills with experience supporting cross-functional or enterprise-level teams.
  • Hands-on experience with project or automation tools (e.g., Smartsheet, Airtable, Asana, or similar).
  • Exceptional organizational skills with attention to detail and follow-through.
  • Comfortable working in ambiguous, fast-changing environments with minimal direction.
  • Self-starter mindset proactive, adaptable, and able to influence respectfully.

Preferred Qualifications

  • Background in creative production, media, or technology environments.
  • Familiarity with AI concepts or enthusiasm to learn emerging technologies.
  • Experience supporting content strategy, communications, or event logistics.
