Job Title: Project Coordinator/Data Entry Specialist/Administrative Support

Location: Santa Rosa, CA. 95403 (onsite 5 days a week)

Duration: End of Feb 2026

Qualifications:

  • 3+ years of experience in the field or in a related area
  • Proficient in MS Office, Teams, OneDrive
  • Strong Excel skills and being able to use Pivot Tables
  • Proven administrative assistant experience
  • Knowledge of basic invoicing and/or billing procedures
  • Excellent time management skills and ability to multitask and prioritize work
  • Attention to detail and problem-solving skills
  • Excellent written and verbal communication skills
  • Strong organizational and planning skills

Job Description:

In this role you will be responsible for tracking and logging data in a variety of areas, ensuring timely completion by our deadlines. You will be responsible for assisting the Division Manager with a wide variety of tasks and reports as needed.

Beyond Basic Tasks:

  • Data Entry and Analysis: Critical data entry/tracking, basic data analysis, and report preparation.
  • Financial Support: Approving vendor invoices, detailed job review to ensure accuracy of billing.
  • Confidentiality: Handling sensitive information with discretion and professionalism.

Key Skills:

  • Organization: Strong organizational and time-management skills are crucial.
  • Communication: Excellent written and verbal communication skills are essential.
  • Computer Literacy: Proficiency in using various software and tools, including Microsoft Word, Excel spreadsheets, Outlook email, OneDrive, and Teams.
  • Problem-Solving: The ability to identify and solve problems effectively.
  • Adaptability: The capacity to adjust to changing priorities and tasks.
  • Flexibility: Attitude is everything. The ability to remain flexible in a busy environment.
