Position Overview
We are seeking a highly organized and detail-oriented Payroll Specialist to manage accurate and timely payroll processing for our organization. The Payroll Specialist will be responsible for maintaining payroll records, processing employee compensation, ensuring compliance with federal, state, and local regulations, and providing support to employees and managers on payroll-related inquiries.
Key Responsibilities
Process multi-state payroll for hourly and salaried employees on a weekly, bi-weekly, or semi-monthly basis.
Review and validate timekeeping data, ensuring accuracy in hours worked, overtime, and paid time off.
Maintain payroll records including garnishments, deductions, benefit contributions, and tax withholdings.
Ensure compliance with federal, state, and local payroll, wage, and hour laws.
Prepare and reconcile payroll reports for Finance and HR, including journal entries and general ledger updates.
Assist with year-end payroll activities such as W-2, 1099, and other tax reporting.
Respond to employee inquiries regarding payroll, timekeeping, and deductions.
Partner with HR and Finance teams to support audits, benefits administration, and system implementations.
Identify opportunities to improve payroll processes, streamline workflows, and enhance accuracy.
Qualifications
Associate or Bachelor's degree in Accounting, Finance, Business, or related field preferred.
2+ years of payroll processing experience (multi-state experience a plus).
Proficiency in payroll systems such as ADP, Paylocity, Workday, Kronos, or Ceridian.
Strong knowledge of payroll laws, garnishments, and tax regulations.
Proficiency in Microsoft Excel (VLOOKUP, PivotTables) and payroll reporting tools.
Excellent attention to detail, accuracy, and confidentiality.
Strong organizational and problem-solving skills with the ability to meet tight deadlines.
Effective communication and interpersonal skills.
Preferred Skills
Experience with union and non-union payrolls.
Knowledge of payroll compliance audits.
Familiarity with ERP and HRIS system integrations.
