Overview:
Our law firm is seeking a detail-oriented and proactive Billing Specialist to join our client's team on a contract-to-hire basis. The ideal candidate will have experience in legal billing, strong organizational skills, and the ability to work efficiently in a deadline-driven environment. This role is essential to ensuring accurate client invoicing, timely payments, and smooth financial operations across the firm. This position will be on a hybrid schedule.

Key Responsibilities:

  • Prepare, review, and finalize client invoices in accordance with attorney instructions, fee arrangements, and firm billing guidelines.

  • Process timekeeper entries, ensuring accuracy, completeness, and proper formatting for client billing requirements.

  • Manage e-billing submissions through various platforms and resolve any rejected invoice issues.

  • Track matter budgets, rate agreements, discounts, and alternative fee arrangements.

  • Communicate with attorneys, paralegals, and support staff to clarify billing-related questions or discrepancies.

  • Monitor accounts receivable and assist with follow-ups on outstanding balances.

  • Maintain accurate billing records and documentation within the firm's billing system.

  • Generate billing reports and support month-end and year-end financial processes.

  • Ensure compliance with client billing guidelines, firm policies, and audit requirements.

  • Provide exceptional client service with professionalism and confidentiality.

Qualifications:

  • 2+ years of billing experience, preferably in a law firm or professional services environment.

  • Familiarity with legal billing software and e-billing platforms.

  • Strong understanding of billing guidelines, matter management, and time entry processes.

  • Excellent attention to detail, problem-solving skills, and follow-through.

  • Ability to manage multiple deadlines and adapt to shifting priorities.

  • Strong communication skills and a collaborative mindset.

  • Proficiency in Microsoft Office, especially Excel and Word.
