This role will be responsible for handling a variety of tasks and providing assistance wherever needed, ensuring smooth operations and efficiency throughout the company. The ideal candidate will possess exceptional communication skills, a proactive mindset, and a strong work ethic. Hours are 8:30am-5:30pm, 5 days\/week onsite, with paid overtime as needed. <\/p>\n<p> <strong>Responsibilities:<\/strong><\/p>\n<ul>\n<li>Collaborate with colleagues to ensure smooth operations and provide assistance wherever needed to promote teamwork and efficiency.<\/li>\n<li><span style=\"font-style: inherit;\">Provide coverage for administrative professionals during their absence due to planned (or unplanned) time off which may include the following tasks:<\/span><span style=\"font-style: inherit;\">Manage complex calendars, executing the scheduling of various meeting types such as virtual and in-person meetings.<\/span><\/li>\n<li><span style=\"font-style: inherit;\">Coordinate travel arrangements with corporate travel agent, ranging from local to international travel, for team members, ensuring all logistics are organized and efficient.<\/span><\/li>\n<li><span style=\"font-style: inherit;\">Assist with event coordination, data entry, and ad-hoc project support.<\/span><\/li>\n<li><span style=\"font-style: inherit;\">Assist with compiling and print of materials as well as office and facilities support as needed.<\/span><\/li>\n<li><span style=\"font-style: inherit;\">Maintain accurate records and databases, including expense reports. Assist with other&#8217;s expenses as needed (i.e., requesting receipts and\/or utilizing Concur).<\/span><\/li>\n<li><span style=\"font-style: inherit;\">Serve as a point of contact for internal and external stakeholders, demonstrating professionalism and responsiveness in all communications.<\/span><\/li>\n<li><span style=\"font-style: inherit;\">Serve as a backup for reception duties:<\/span><span style=\"font-style: inherit;\">Sit at reception to provide backup support to the receptionist for 1 week every three weeks (rotational support with other floaters).<\/span><\/li>\n<li><span style=\"font-style: inherit;\">Responsible for greeting visitors, answering phones and managing incoming\/outgoing mail.<\/span><\/li>\n<li><span style=\"font-style: inherit;\">Ensure a professional and welcoming atmosphere in the reception area, providing excellent customer service to clients, guests, and staff.<\/span><\/li>\n<li><span style=\"font-style: inherit;\">Direct visitors to the appropriate personnel or meeting rooms and assist with any inquiries or requests.<\/span><\/li>\n<li><span style=\"font-style: inherit;\">Provide administrative support to two senior advisors.<\/span><\/li>\n<\/ul>\n<p><strong>Qualifications:<\/strong><\/p>\n<ul>\n<li>Bachelor&#8217;s degree required, or equivalent combination of education and experience.<\/li>\n<li>Minimum of 2 years of administrative support experience, preferably in a corporate environment.<\/li>\n<li>Experience with travel coordination required..<\/li>\n<li>Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook).<\/li>\n<li>Proficient in utilizing technology, including Zoom and conference room systems.<\/li>\n<li>Strong communication skills, both verbal and written, with the ability to interact professionally with individuals at all levels of the organization.<\/li>\n<li>Exceptional organizational skills and attention to detail, with the ability to prioritize tasks and manage time effectively in a fast-paced environment.<\/li>\n<li>Innovative thinker who consistently seeks to improve processes and approaches tasks with creativity and flexibility.<\/li>\n<li>Ability to work independently and collaboratively as part of a team, with a positive attitude and willingness to learn.<\/li>\n<li>Flexibility in hours to cover early morning\/later day meetings.
