Global law firm seeks a Billing Coordinator to join their Miami office.<\/p>\n

Hours: 9:00 am to 5:00 pm ET<\/p>\n

Hybrid – 2 days remote<\/p>\n

Non-exempt <\/p>\n

Position Summary:<\/strong><\/p>\n

This role is responsible for ensuring accurate, timely, and compliant billing processes while delivering a high level of customer service to both internal stakeholders and external clients. The position oversees the full monthly billing cycle, including editing, proofreading, finalizing, and submitting client invoices.<\/p>\n

The role also involves researching billing data, providing detailed analysis to attorneys when needed, and supporting complex billing portfolios. As a key liaison between the firm and its clients, this position ensures clear communication, effective issue resolution, and a high standard of professionalism across all billing-related matters. Mentoring junior team members is also an integral part of this role.<\/p>\n

Key Responsibilities:<\/strong><\/p>\n

Invoice Preparation & Submission<\/strong><\/p>\n

\u00b7 Prepare, review, finalize, and submit client invoices in accordance with firm policies and client billing guidelines.<\/p>\n

\u00b7 Ensure accuracy in billing entries, task codes, and discounts.<\/p>\n

\u00b7 Coordinate with the e\u2011billing team to ensure timely and accurate electronic submissions.<\/p>\n

\u00b7 Obtain and document required approvals for deferrals, write\u2011offs, and time transfers <\/p>\n

Client Communication & Support<\/strong><\/p>\n

\u00b7 Serve as the primary point of contact for billing-related inquiries from clients.<\/p>\n

\u00b7 Provide timely and professional responses to client questions or concerns.<\/p>\n

\u00b7 Clarify billing details and resolve discrepancies with diplomacy and accuracy.<\/p>\n

\u00b7 Continuously strives to improve client service and deliverables.<\/p>\n

Internal Collaboration & Support<\/strong><\/p>\n

\u00b7 Work closely with attorneys, legal assistants, and the accounting teams to gather necessary billing information.<\/p>\n

\u00b7 Maintain ownership of issues from start to resolution, escalating complex matters to the appropriate teams when needed. <\/p>\n

\u00b7 Collaborate with managers and team members to provide additional support during peak periods or when coverage is required.<\/p>\n

Performance & Compliance<\/strong><\/p>\n

\u00b7 Ensure compliance with client billing guidelines, firm policies, and confidentiality requirements.<\/p>\n

\u00b7 Maintain accurate documentation of client billing requirements and track updates or changes as needed.<\/p>\n

\u00b7 Meet deadlines, performance metrics, and service-level expectations tied to billing cycles and client satisfaction.<\/p>\n

\u00b7 Prepare monthly reporting as requested, coordinating with other teams when necessary and reviewing data for accuracy prior to submission.<\/p>\n

\u00b7 Collaborates with managers when additional team support is required.<\/p>\n

Process Improvement & Knowledge Sharing<\/strong><\/p>\n

\u00b7 Identify opportunities to improve and streamline billing processes and workflows.<\/p>\n

\u00b7 Participate in training and development initiatives to remain current on billing systems, tools, and policies.<\/p>\n

\u00b7 Provide mentoring and knowledge-sharing support to junior team members to promote consistency and best practices.<\/p>\n
