We are looking for someone who can independently manage a high-volume litigation caseload, anticipate issues before they arise, and keep attorneys organized and prepared every step of the way.<\/p>\n<p>If you enjoy solving problems, keeping complex litigation moving forward, and working with technology to improve efficiency, we&#8217;d love to meet you.<\/p>\n<\/p>\n<p><span style=\"text-decoration: underline\">Primary Duties and Responsibilities<\/span><\/p>\n<ul>\n<li>Monitor for newly opened files throughout the day and promptly begin the file-opening<\/li>\n<\/ul>\n<p>process.<\/p>\n<ul>\n<li>Contact new clients and provide appropriate welcome and introductory communications.<\/li>\n<li>Follow the firm&#8217;s foreclosure file-opening procedure and ensure required information,<\/li>\n<\/ul>\n<p>documents, deadlines, and case statuses are entered accurately.<\/p>\n<ul>\n<li>Prepare and file Notices of Appearance and Motions, as appropriate.<\/li>\n<li>Identify files requiring different or expedited responses, including defaults, emergency<\/li>\n<\/ul>\n<p>matters, and matters requiring immediate attorney review.<\/p>\n<p>Client Communication and Case Management<\/p>\n<ul>\n<li>Serve as a primary client liaison for assigned foreclosure matters.<\/li>\n<li>Communicate hearing results and case updates to clients promptly.<\/li>\n<li>Review upcoming hearings, trials, summary judgment hearings, and foreclosure sales and<\/li>\n<\/ul>\n<p>ensure clients have received appropriate communication regarding next steps.<\/p>\n<ul>\n<li>Coordinate attorney-client calls when attorney guidance or strategy discussions are<\/li>\n<\/ul>\n<p>needed.<\/p>\n<ul>\n<li>Maintain accurate case statuses, notes, deadlines, tasks, and other information within the<\/li>\n<\/ul>\n<p>firm&#8217;s case management system.<\/p>\n<ul>\n<li>Proactively identify files that require attorney attention and follow up until the issue is<\/li>\n<\/ul>\n<p>resolved.<\/p>\n<p>Mediations\/Conciliation Conferences<\/p>\n<ul>\n<li>Coordinate with attorneys and clients regarding upcoming mediations or conciliation<\/li>\n<\/ul>\n<p>conferences and required next steps.<\/p>\n<ul>\n<li>Monitor upcoming mediations or conciliation conferences and ensure all required<\/li>\n<\/ul>\n<p>preparation is completed.<\/p>\n<ul>\n<li>Track mediator invoices and ensure required mediation payments are timely processed. Summary Judgment Hearings, Trials, and Foreclosure Sales<\/li>\n<li>Review matters with significant events coming up and ensure required attorney and client<\/li>\n<\/ul>\n<p>follow-up has occurred.<\/p>\n<ul>\n<li>Escalate approaching deadlines or case events when action remains outstanding.<\/li>\n<li>Coordinate attorney-client conferences when strategy or next steps have not yet been<\/li>\n<\/ul>\n<p>communicated.<\/p>\n<\/p>\n<p><strong>E-Filing and Court Documents<\/strong><\/p>\n<ul>\n<li>Prepare, e-file, and serve pleadings, notices, motions, and other court documents through<\/li>\n<\/ul>\n<p>the Florida Courts E-Filing Portal.<\/p>\n<ul>\n<li>Upload proposed orders through CourtMap, CMS, OLS, JACS, JAWS, and other<\/li>\n<\/ul>\n<p>applicable county-specific judicial systems.<\/p>\n<ul>\n<li>Monitor filings for acceptance, rejection, or required corrective action.<\/li>\n<li>Follow up on pending proposed orders and ensure case statuses are updated after entry of<\/li>\n<\/ul>\n<p>orders.<\/p>\n<\/p>\n<p><strong>Task and Workflow Management<\/strong><\/p>\n<ul>\n<li>Maintain and work assigned tasks daily.<\/li>\n<li>Use case-management reports and dashboards to identify outstanding work and<\/li>\n<\/ul>\n<p>approaching deadlines.<\/p>\n<ul>\n<li>Follow up on outstanding items rather than waiting for attorneys or supervisors to<\/li>\n<\/ul>\n<p>identify them.<\/p>\n<ul>\n<li>Keep assigned files, tasks, reports, and case statuses current and accurate.<\/li>\n<li>Participate in weekly meetings with the supervising attorney to review caseload status,<\/li>\n<\/ul>\n<p>upcoming deadlines, priority matters, and unresolved issues.<\/p>\n<\/p>\n<p><strong>Technology Requirements<\/strong><\/p>\n<ul>\n<li>Experience using the Florida Courts E-Filing Portal.<\/li>\n<li>Experience with Florida judicial online systems, including CourtMap, CMS, OLS, JACS,<\/li>\n<\/ul>\n<p>JAWS, and similar county-specific platforms.<\/p>\n<ul>\n<li>Proficiency with Microsoft Office, Outlook, and Adobe Acrobat.<\/li>\n<li>Experience using legal case-management software; Litify\/Salesforce or Clio experience<\/li>\n<\/ul>\n<p>is a plus.<\/p>\n<ul>\n<li>Ability to effectively manage electronic calendaring, e-service notifications, reports,<\/li>\n<\/ul>\n<p>dashboards, and task-based workflows.<\/p>\n<ul>\n<li>Strong comfort level learning and using technology to manage a high-volume caseload.<\/li>\n<\/ul>\n<p><strong>Qualifications<\/strong><\/p>\n<ul>\n<li>Florida civil litigation experience required.<\/li>\n<\/ul>\n<ul>\n<li>Florida foreclosure experience required.<\/li>\n<li>Strong organizational skills and attention to detail.<\/li>\n<li>Ability to prioritize urgent matters while maintaining routine caseload responsibilities.<\/li>\n<li>Strong written and verbal communication skills.<\/li>\n<li>Ability to communicate professionally with clients, attorneys, court personnel, opposing counsel, and vendors.<\/li>\n<\/ul>\n<ul>\n<li>Ability to take ownership of assignments and follow matters through completion without<\/li>\n<\/ul>\n<p>constant supervision.<\/p>\n<ul>\n<li>Spanish and\/or Haitian Creole bilingual skills are a plus.<\/li>\n<\/ul>\n<p><strong>Working Hours: 8:30 AM &#8211; 5:30 PM or 9:00 AM &#8211; 6:00 PM <\/strong><\/p>\n<\/p>\n<\/p>\n<p><strong>Compensation:<\/strong><\/p>\n<p>Commensurate with experience. The firm also has a generous benefits package. Health, Dental, Vision and Life insurance premiums are paid by the firm at 75% for the base plans.
