We have an exciting opportunity for a great client of ours who is seeking an experienced Office Manager to serve as the face of our corporate headquarters in Rosemont. This role combines front desk reception, office management, and executive administrative support in a fast-paced, hospitality-driven environment. The ideal candidate will be highly organized, detail-oriented, and adept at managing multiple priorities while delivering exceptional service to employees and guests. This is a fully onsite contract position with the opportunity to get hired on permanently. The hours are Monday-Friday from 8-5pm.
Key Responsibilities
· Serve as the first point of contact for all visitors and incoming calls, ensuring a professional and welcoming experience.
· Manage conference room bookings, catering orders, and building-wide event coordination.
· Maintain office supplies, food/snacks, and vendor relationships to ensure smooth daily operations.
· Act as liaison with building maintenance, janitorial staff, and safety committee for facility needs.
· Oversee security key card system for activation/deactivation and maintain office layout updates.
· Send office-wide communications and announcements via email and Teams.
· Sort and manage inbound mail, deliveries, and maintain mailroom organization.
· Submit purchase orders and assist with expense reporting for executives.
· Support HR with new hire onboarding, including ID photos, nametags, and building tours.
· Provide ad hoc administrative support to senior leadership and multiple departments.
Qualifications
· 5+ years of administrative experience supporting senior executives in a corporate setting. College degree preferred.
· Prior experience with C-suite executives strongly preferred.
· Advanced proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams).
· Strong organizational skills and ability to manage multiple priorities.
· Exceptional written and verbal communication skills.
· Professional demeanor with a hospitality-first mindset.
· Ability to handle confidential information with discretion.
