We’re seeking an Executive Assistant to join our Northbrook, Illinois office. In this role, you’ll support senior leadership and the Board of Managers by managing schedules, preparing agendas, and creating presentations. You’ll also handle business development tasks, including tracking inquiries, managing contacts, and using HubSpot. Your responsibilities will include coordinating marketing efforts with vendors, developing digital campaigns, updating our Squarespace website, conducting market research, and drafting correspondence. Key Responsibilities
● Provide support for the senior leadership and management teams, including preparation and scheduling of client meetings. Responsible for working with team members to coordinate meeting needs and agendas, assisting in the creation of spreadsheets and presentations will be required.
● Provide support for the Board of Managers to include scheduling, meeting packet distribution,
and meeting minutes.
● Support business development needs to include
○ Tracking inquiries and other contacts; add contacts via LinkedIn and other sources
○ Utilize HubSpot as appropriate in support of business development needs
○ Coordinate marketing efforts in collaboration with marketing vendor
■ Respond to inquiries with appropriate marketing email
■ Assist in the development of a digital marketing campaign
■ Update website (squarespace) with direction from management
● Perform market and industry research and prepare summaries as assigned
● Draft correspondence, letters, memos, and various reporting
● Receive and respond to calls from customers as well as sales representatives
● Participate in goal projects while maintaining daily workload

Qualifications & Experience
● Bachelor’s degree
● 3+ year senior leadership level support experience
● Must be proficient in Google WorkSpace, and database management. Ability to create exceptional Google Slides a plus
● Excellent written and verbal communication skills
● Impeccable organizational skills, detail-oriented with strong ability to multitask and prioritize
● Proactive, solutions-oriented and resourceful
● Outstanding interpersonal skills with an ability to work well with individuals across the company at all levels with professionalism and respect
● High degree of initiative
● High level of discretion and confidentiality
● Strong problem-solving abilities and attention to detail
● Flexibility to adapt to a fast-paced environment with changing work priorities
