A national law firm has an immediate opening for a full-time litigation practice assistant for their Coral Gables, Florida practice. This is a hybrid position and candidate is required to have experience in Florida Law. Will provide reliable support to partners, associates, and paralegals within the practice.
Responsibilities
- Calendar and follow-up on deadlines for discovery, Court events, etc.
- Contact Courts (confirm hearings, obtain dockets, e-filing procedures, etc.) and adjusters/clients as needed
- Schedule conference calls/meetings and handle scheduling, calendaring for their assigned team
- Open and close client files
- Associate and download documents, emails, and court filings into iManage document system
- Review invoices for payments and submit expense reports
- Prepare pleadings, discovery (requests and answers), e-filings to be filed (drafting and exhibits), and general correspondence
- Assist attorneys in preparing for trials and hearings, including drafting witness lists and exhibit lists
- E-file legal documents in various courts (pleadings, motions, praecipes, etc.)
- Transcribe dictation and convert documents from PDF to Word
Qualifications
- Minimum of 5+ years’ experience as a litigation legal assistant
- Excellent verbal and written communication, interpersonal, customer service proofreading, time management, and organizational skills
- Solid understanding of civil litigation (state and federal calendar deadlines and rules)
- Ability to occasionally work over 35 hours per week to meet client demands
- High proficiency in MS Suite, Outlook, Adobe Acrobat, and document management software
