Position Summary

A well-established professional services organization is seeking an Office Services Coordinator to support its Los Angeles office. The ideal candidate will provide high-quality administrative and logistical support to internal stakeholders across departments. This role involves handling duplicating, scanning, mailing, shipping, faxing, conference room setups, and other office services functions in a fast-paced, professional environment.

Key Responsibilities

  • Handle duplication, scanning, printing, binding, and delivery of legal and business documents.

  • Manage internal and external mail distribution, courier services, interoffice pouches, and faxing.

  • Organize and bind documents, create professional binders, and prepare materials for meetings.

  • Maintain accurate records for all incoming and outgoing shipments.

  • Operate office equipment, including copiers, scanners, mail machines, and binding equipment.

  • Troubleshoot minor technical issues with office equipment and escalate when necessary.

  • Set up and break down conference rooms for meetings and events, including arranging furniture and catering.

  • Maintain office cleanliness, including stocking pantries and sanitizing high-touch areas.

  • Answer phones and direct calls professionally.

  • Draft internal memos, letters, reports, and forms as needed.

  • Maintain vendor relationships for shipping and courier services.

  • Support other departments (such as reception, records, and facilities) when needed.

  • Oversee department functions in the manager’s absence.

  • Process department invoices and maintain statistical data on services rendered.

Additional Responsibilities

  • Perform clerical tasks such as typing, filing, and updating forms and databases.

  • Provide administrative support across office services functions during peak periods or staffing shortages.

Qualifications

Skills & Competencies:

  • Strong verbal and written communication skills.

  • Exceptional attention to detail and organizational skills.

  • Professional and customer-service-oriented demeanor.

  • Adaptability to shifting priorities and high-pressure situations.

  • Dependable and punctual with a predictable work schedule.

  • Proficiency in Microsoft Office Suite and office services equipment.

  • Capable of typing at least 40 WPM.

  • Ability to lift up to 50 lbs and perform physical tasks such as walking, reaching, and bending throughout the workday.

  • Willingness to work overtime, including evenings and weekends, when required.

Education:

  • High school diploma or equivalent required.

Experience:

  • Minimum 2-3 years of relevant experience in a law firm or professional services setting, ideally in a lead or coordinator role within an office services department.

Compensation

The annualized base salary range for this position is $20-$29/hour + bonus depending on experience, education, certifications, and overall qualifications.
