Position: Office Services Coordinator
Schedule: Monday – Friday, 9:00am to 6:00 pm
FLSA Status: Non-Exempt/Hourly
The Office Services Coordinator is responsible for providing administrative and clerical support to the team.
Responsibilities
- Handle scanning, printing, copying, and mailing tasks
- Collect daily mail from the Post Office
- Distribute incoming mail, including FedEx and UPS packages
- Ensure all outgoing mail is properly stamped, labeled, and sent out on time, including FedEx and UPS shipments
- Maintain and stock copy and printer stations with paper and other supplies daily
- Deliver in-office mail and other deliveries to team members every hour
- Assist with trial preparation, including copying, binder preparation, and conference room setup.
- Perform copier maintenance tasks, such as calling for service, ordering toner, ordering paper and troubleshooting
- Set up and clean conference rooms
- Keep the lounge clean and fully stocked
- Coordinate deliveries with couriers
- Make local deliveries and retrievals
- Assist with special event setup and cleaning
- Maintain and order office and kitchen supplies
- Provide receptionist coverage when needed
- Perform other duties as assigned
Education, Experience, Skills, Other
- High School diploma or equivalent
- At least 2 years of experience in customer service, reception, or related areas – Law firm experience is required
- Excellent verbal communication skills
- Excellent interpersonal and customer service skills
