Legal Assistant – Commercial Real Estate Department
A law firm in Brickell is seeking an experienced Legal Assistant to provide high-level administrative and organizational support to attorneys in the Commercial Real Estate Department. The ideal candidate will be detail-oriented, proactive, and capable of handling multiple priorities in a fast-paced environment.
Responsibilities
- Provide comprehensive administrative support to attorneys, including calendar management, scheduling meetings, and coordinating travel arrangements.
- Draft, format, proofread, and edit correspondence, legal documents, and transactional materials with accuracy and attention to detail.
- Assist in the preparation of closing binders and coordinate document distribution.
- Manage electronic and physical filing systems, ensuring documents are organized and easily accessible.
- Handle incoming calls, emails, and correspondence in a professional and timely manner.
- Open, organize, and maintain client files in compliance with firm procedures.
- Coordinate with clients, title companies, lenders, and other parties involved in real estate transactions.
- Process expense reports, time entries, and billing as required.
- Record and file legal documents with the Clerk of the Circuit Court and the Secretary of State’s office.
- Maintain confidentiality and exercise discretion in all matters.
- Support attorneys and paralegals with special projects and other duties as assigned.
Qualifications
- Minimum of 5 years of legal assistant in commercial real estate.
- Proficiency in MS Word, Excel, Outlook, and Adobe.
- Strong organizational skills with the ability to manage multiple tasks simultaneously.
- Strong time management skills and ability to coordinate and manage assignments for multiple attorneys.
- Excellent written and verbal communication skills.
- Ability to work independently while being a collaborative team player.
- Major law firm experience strongly preferred.
