Bookkeeper
Contract-to-Hire | Up to $30/hr | 20-25 Hours/Week | Flexible Schedule |
Setting: School / Preschool Environment (On-Site in Philadelphia)
Position Summary
The Bookkeeper supports the organization by managing day‑to‑day financial operations and ensuring overall fiscal health. This role handles accounts receivable, accounts payable, tuition billing, budgeting support, bank account management, financial reporting, and general administrative duties within a school setting. Ideal for someone seeking part‑time, flexible work with long‑term potential.
Key Responsibilities
Accounts Receivable & Payable
- Manage all accounts receivable, including tuition, donations, and parent billing
- Handle accounts payable: vendor invoices, bills, program expenses, field trip costs
- Seek approval for purchases outside the established budget
Financial Operations
- Process ELRC subsidy payments, attendance reporting, and annual renewals
- Assist with budget preparation and monitor adherence throughout the fiscal year
- Oversee bank accounts, including deposits, funding tracking, and cash flow
- Maintain accurate bookkeeping records
- Meet monthly with the contracted accountant and prepare monthly financial reports
- Provide quarterly financials to the Board; maintain communication with the Board Treasurer
- Prepare documentation for the annual audit and Form 990
Tuition & Administrative Support
- Draft and distribute monthly tuition statements, tracking additional hours and adjustments
- Manage ordering of classroom, office, and cleaning supplies
- Maintain and reconcile petty cash
Schedule & Work Environment
- 20-25 hours per week
- Flexible hours
- Some remote flexibility once fully trained
- On‑site role in a school/preschool setting
