Overview:
Our client, a community-focused organization, is seeking a Front Office & Program Support Specialist to assist with front-desk operations and administrative support. This role is essential in creating a welcoming environment for visitors while ensuring the smooth daily functioning of client services and program activities.
Key Responsibilities:

Greet and assist walk-in visitors and respond to incoming calls

Schedule and coordinate client appointments

Support intake processes and maintain electronic client records

Provide general information and referrals to community resources

Assist with onboarding and training of customer service personnel
-
Coordinate with program staff to support client continuity of care

Prepare and process communications, including letters, forms, email, and internal memos
-
Manage supply orders and receive deliveries
-
Organize meetings and prepare agendas and sign-in sheets
-
Maintain secure and organized filing systems for client and program documentation

Assist with basic billing and quality assurance tasks

Collect and route timesheets and activity reports for approval and processing
Qualifications:
-
Associate’s or Bachelor’s degree in Administration, Human Services, or a related field

Strong customer service and interpersonal skills
-
Basic proficiency in Microsoft Office and standard office equipment

Minimum typing speed of 40 WPM
-
Ability to handle sensitive client information with confidentiality

Strong organizational skills and attention to detail
