Job Title: Office Manager
Location: Minnetonka, MN (Full-time, Onsite; Hybrid flexibility after training)
Position Summary
The Office Manager role combines administrative, operational, and compliance responsibilities within a small, collaborative investment office. This position requires strong organizational skills, problem-solving ability, and a commitment to accuracy. Ideal candidates are self-motivated, detail-oriented, and comfortable working in a focused team environment.
Key Responsibilities
- Deliver high-quality client service and ensure timely, accurate account management.
- Reconcile client accounts monthly or as needed.
- Support investment team with trading operations:
- Execute program trades and account allocations.
- Monitor trade settlement and resolve discrepancies.
- Prepare trade-related reporting.
- Monitor cash notifications and execute trades as requested by clients.
- Perform data entry and statistical reporting for portfolio managers, external databases, and consultants.
- Prepare marketing materials for client and prospect meetings.
- Assist with RFP responses.
- Provide compliance support, including record management, regulatory filings, and policy maintenance.
- Manage internal business systems and office supplies, including printer and website maintenance.
Qualifications
- Bachelor’s degree required.
- Previous experience in financial services preferred.
- Strong problem-solving skills, attention to detail, and adaptability.
- Proficiency in Microsoft Office (Excel and Word essential).
- Experience with InvestCloud and DTC trade reconciliation preferred but not required.
