A Florida law firm seeks an Office Services Specialist to join their team in the West Palm Beach office.
Mailroom and Delivery Support
- Sort, process, and distribute incoming and outgoing mail, packages, and courier deliveries.
- Prepare outgoing mail, including certified, overnight, and special-handling items.
- Coordinate with external vendors (FedEx, USPS, UPS, Couriers) to ensure timely delivery.
- Document and Reproduction Services
- Operate high-volume copiers, scanners, and binding machines.
- Assist with printing, copying, scanning, collating, laminating, and binding legal documents.
- Ensure confidentiality and accuracy when handling sensitive or privileged materials.
Facilities and Office Support
- Maintain organization and cleanliness of common areas, supply rooms, and equipment rooms.
- Monitor and restock office supplies, paper, and toner, and maintain inventory levels.
- Assist with office repairs, equipment maintenance, and coordination with the building.
- Support conference rooms setups, furniture moves, and internal office relocations.
- Deliver documents, binders, or supplies to attorneys and staff as needed.
Skills and Competencies
- Strong attention to detail and a high level of accuracy
- Ability to manage multiple tasks and prioritize effectively.
- Good communication and customer service skills.
- Proficient with office equipment (copiers, scanners, postage meters, Zoom, Teams)
- Ability to lift boxes or supplies to 50 lbs.
- Comfortable using basic computer applications (Outlook, Word, Excel)
Work Environment
- On-site Monday – Friday during business hours
- Requires physical activity, including standing, walking, lifting, and bending
- Fast-paced environment with frequent deadlines.
