Executive Assistant
Our client is looking for a highly organized and resourceful Executive Assistant to provide dedicated support to a senior leader/co-founder at a hedge fund. This position offers close collaboration with a small, focused investment team and is ideal for someone who enjoys working in a dynamic environment and contributing to the success of a growing firm.
What You’ll Do
- Serve as the primary administrative partner for a co-founder/senior executive.
- Coordinate complex calendars across multiple time zones and anticipate scheduling needs.
- Organize meetings, book conference spaces, and manage video conferencing logistics.
- Arrange domestic and international travel, including flights, accommodations, and ground transportation.
- Assist with office operations, document organization, and workflow tracking.
- Provide on-site support for technology and troubleshooting as needed.
- Collaborate with the New York-based EA to ensure smooth cross-office communication.
- Maintain professional and confidential interactions with internal teams, investors, and external partners.
- Help with investor meeting coordination and logistics for offsite events.
- Support research-related tasks and assist with firm-wide initiatives.
- Partner with finance for expense tracking, reimbursements, and allocations.
What We’re Looking For
- 1-3+ years of experience supporting senior executives; exposure to finance or start-up environments is a plus.
- Strong proficiency with Outlook, Zoom, and office technology.
- Exceptional organizational skills and attention to detail.
- Ability to manage competing priorities in a fast-paced setting.
- Professional, approachable, and solutions-oriented mindset.
- Excellent written and verbal communication skills.
Location
- Based in San Francisco Bay Area.
- Role is 5 days onsite, with flexibility.
