KEY RESPONSIBILITIES:
- Supporting the successful coordination and delivery of the IT Programme
- Be instrumental in building a tailored PMO function in the US IT team, ingesting existing & new projects into the framework and providing ongoing management support
- To deliver assigned change Programs and standalone IT Projects on time, within budget and quality.
- Weekly meeting cadence with PMO team and stakeholders to review project artifacts & progress
- Support, motivate, guide, coach and develop the IT PMs in Project Management including definition of scope, objectives, planning, stage gates, quality criteria & communication plans, ensuring involvement of all relevant stakeholders
- Develop detailed project plans to set deadlines, assign responsibilities/resources and monitor progress of own projects with standard PM artifacts such as risk registers, RACIs, test plans, and training documentation
- Manage changes to the project scope, project schedule and project costs using appropriate verification techniques
- Show leadership in managing key stakeholders and maintaining communications plans
- Drafting and reviewing Project Mandates to ensure initiatives align to the Business and IT strategies
- Scope and business case management & collation through the PMO
- Perform discovery efforts to compare solutions and vendors that meet the business needs, IT standards and budgeting requirements
- Ensure structured Quality control/procedures and processes are in place and adhered to
- Risk & Change Management. Ensure that Project risks, issues and constraints are ‘rolled-up’ to the wider IT Programme, driving risk-mitigation, issue-resolution and constraint-management at a Programme level; managing, supporting and updating as needed
- Prepare and deliver updates for assigned programs in a timely manner
- Prepare Project Status Reports, collate & review PSRs from the PM team and issue weekly to stakeholders and IT
- Working with other internal functions such as BAs, IT Operations, IT Apps & Data teams, Master Data Team, Database team & Data Architects to determine their roles in projects, and track their contributions
- Build strong working and strategic relationships with a variety of suppliers, augmenting internal teams where needed to deliver the Programme, and ensuring suppliers adhere to high quality on-scope, on-time, on-budget delivery
- Deputize for the Director of Projects and Innovation as needed including assisting in the creation, presentation and ongoing upkeep of IT strategies, business-steering, senior level communications and other administrative duties
Required Skills:
- Retail industry experience is required
- A proven background in delivering IT change initiatives in a complex organization, retail preferred
- Experience in varied project methodologies with the ability to know when to work ‘agile’ and when to work ‘waterfall’ while applying the correct level of governance to stay delivery-focused
- Understanding the running of a PMO is advantageous and a desire to make this a career path
- Experience in managing multiple projects concurrently in a mixed-delivery environment of both internal and external delivery teams and shared multi-project resources
- Ability to work, and lead, under pressure – and meet tight deadlines while remaining results driven
- Strong communication and influencing skills
- People-management and leadership skills; coaching, mentoring and developing Project Managers
- Supplier management experience including negotiation, tender and contract management
- Clear and concise presentation skills, including experience in program updates to senior teams
- Strong financial and budget management, managing project budgets, and tightly controlling capital expenditure
- Business or systems analysis experience with exposure to Point of Sale and/or data integrations
- Ability to take ambiguous requirements and refine them to clear objectives and deliverables
