About the Role
Our client, a global investment banking firm is seeking an Executive Assistant to provide high-level, onsite administrative support to their San Francisco-based Investment Banking team. This role primarily supports two Managing Directors, along with coordination for a senior associate and analysts.
This is a critical role for the SF office and requires someone who is proactive, communicative, resourceful, and able to anticipate needs in a fast-paced environment.
Key Responsibilities
Executive Support
- Provide daily administrative support to two Managing Directors, serving as their primary point of contact.
- Manage complex and dynamic calendars across multiple time zones.
- Coordinate domestic and international travel, including flights, accommodations, itineraries, and logistics.
- Provide phone coverage and manage incoming communications with professionalism and discretion.
- Prepare, submit, and track expense reports.
Team & Office Support
- Provide occasional support to a senior associate and analysts on the investment banking team.
- Partner with management support in NYC for operational needs.
- Monitor and maintain pantry organization; ensure supplies are consistently stocked.
- Serve as a liaison for facilities issues by communicating with NYC support teams or local SF building management.
- Help maintain a comfortable, well-run office environment for the SF team.
Work Expectations & Style
- Be attentive and responsive throughout the working day, including when MDs are traveling.
- Occasionally handle after‑hours needs; emergencies will be communicated via text and handled with reasonableness in mind.
- Operate with a mindset of making the team feel supported, prepared, and taken care of-handling details so they can focus on client work.
Ideal Candidate Profile
- Experience supporting senior leaders in a traditional, fast‑paced, professional-services environment (investment banking experience strongly preferred).
- Highly organized, detail-oriented, and able to juggle many moving parts.
- Strong judgment, discretion, and ability to anticipate needs before they arise.
- Warm, professional demeanor-someone who helps the MDs feel fully supported.
- Thrives in a role that is part simple, part complex, and always mission-critical.
Compensation
- All-in target: ~$140K (base + bonus), with flexibility depending on experience.
- Base range: $125K-$130K, with all employees eligible for bonus.
