A professional services organization with a global footprint is seeking an Office Manager to support one of its U.S. offices. This role is responsible for ensuring smooth day‑to‑day operations, creating a welcoming and efficient workplace, and providing high‑level administrative support to senior leaders.
The Office Manager partners closely with local leadership and a distributed administrative support team to maintain operational excellence, support employee experience, and contribute to internal initiatives that strengthen culture and collaboration.
This position reports to a senior operations leader, with a dotted‑line relationship to local office leadership.
Core Responsibilities
Office Operations & Employee Experience
- Serve as a central point of contact for office operations and workplace coordination
- Partner with local leadership to support administrative needs and office priorities
- Proactively identify opportunities to improve office functionality, safety, and employee experience
- Communicate office updates and changes to relevant stakeholders
- Oversee office supply inventory, including kitchen and shared resources
- Manage relationships with external vendors (e.g., facilities, maintenance, office services)
- Coordinate office programs, internal meetings, and events
- Ensure new hires are set up effectively, including workspace readiness and office access
- Maintain office seating plans and support space planning efforts
- Schedule and support meetings, including agendas, minutes, room setup, and catering as needed
- Collaborate with internal teams (e.g., IT, HR, Finance) on initiatives impacting the local office
- Maintain awareness of office activities to ensure appropriate scheduling and coordination
- Manage office‑level budget tracking in partnership with finance
Executive & Leadership Administrative Support
The Office Manager provides dedicated administrative support to aligned senior and extended leadership team members, including:
- Coordinating complex travel arrangements
- Preparing and submitting expense reports
- Supporting tracking and execution of client or project‑related documentation
- Managing calendars and scheduling for internal and external meetings
- Providing ad hoc administrative support as required
Team & Cross‑Office Leadership
As part of a broader administrative support function, the Office Manager is expected to:
- Lead, coach, and support administrative staff and/or reception team members
- Participate in cross‑office initiatives, including training and process improvement efforts
- Support capacity planning to ensure appropriate coverage for leadership and initiatives
- Gather feedback from internal stakeholders and recommend enhancements to service delivery
