Administrative Specialist
Location: Golden Valley, MN (Full time onsite)
Schedule: Monday-Friday, 8am-5pm
Contract hrough October 2026

Overview
Administrative Specialist is a strategic business partner dedicated to delivering exceptional administrative support that empowers employees and strengthens organizational performance. The Administrative Specialist role provides administrative expertise in a collaborative team environment. This position offers a blend of back-up administrative support, cross-functional project work, and customer-focused service delivery.
Key Accountabilities
- Collaborate closely with Administrative Assistants within the Center of Excellence to ensure seamless operations and consistent support.
- Step in as backup support during Administrative Assistant absences, taking ownership of:
- Coordinating and prioritizing calendars
- Planning and executing meetings and events, including logistics, materials, agendas, and follow‑up
- Managing end‑to‑end global travel needs, from documentation to bookings and expense reconciliation
- Deliver a wide range of administrative services to leaders and teams across office locations, including:
- Recording, tracking, and entering data
- Conducting research and assisting with meeting or event preparation
- Organizing, refining, and producing documents
- Supporting workspace moves or adjustments
- Assembling packages, gift bags, or promotional items
- Greeting visitors, serving as a tour guide, or escorting guests to meetings
- Provide on-site partnership and coordination with Virtual Assistants to ensure alignment and continuity of work.
- Apply technical expertise to streamline administrative processes and recommend improvements.
- Lead or support longer-term initiatives that contribute to team efficiency or organizational priorities.
- Engage with both internal and external stakeholders-including community leaders, customers, and partners-representing the organization with professionalism.
- Support various special assignments and ad hoc projects as needed.
Minimum Qualifications
- At least 2 years of relevant administrative or related experience
- High School Diploma
- Strong customer service focus with a positive and enthusiastic approach
- High proficiency in Microsoft Office and comfort integrating technology and tools into business processes
- Excellent verbal and written communication skills
- Strong planning and organizational abilities with exceptional attention to detail
- Ability to anticipate needs, manage multiple priorities, and adapt to changing demands
- Capability to build effective networks and collaborate to solve problems or make informed decisions on confidential or moderately complex issues
- High level of sound judgment, independence, and decision‑making in handling confidential or complex matters
- Strong ability to build partnerships and work effectively with employees at all levels
