Beacon Hill Associates is seeking a Workplace Associate for an onsite, contract opportunity supporting a large corporate office environment. This role serves as the front-facing presence of the workplace and provides comprehensive facilities and workplace support to ensure a best-in-class employee and guest experience.
Day-to-Day Tasks:
Create a welcoming, professional, and hospitable environment for employees and guests
Handle internal and external communications, including monitoring the main phone line
Anticipate client needs through observation and proactive service
Support daily workplace operations and assist the Workplace Management team
Coordinate and communicate maintenance activities
Manage work orders, invoice processing, and internal systems
Provide facility-specific support to project management teams
Workplace Experience
Deliver authentic, timely, and caring service
Serve as a solution provider by directing guests and employees appropriately
Continuously monitor office and facility conditions
Ensure timely follow-up with stakeholders and teammates
Coordinate vendors and service providers
Assist with meeting and conference room reservations
Visitor Management
Manage visitor registration and access
Ensure compliance with visitor access policies
Support emergency response procedures when required
Kitchen Management
Maintain cleanliness of kitchen and break areas
Stock snacks, beverages, and supplies
Order kitchen supplies and coordinate equipment repairs
Mail Services
Organize incoming and outgoing mail and courier services
Manage mail distribution and overnight deliveries
Compliance
Administer badge access
Support budget requests, reporting, and analysis
Follow all HSSE guidelines
Ideal Candidate Profile:
Superior customer service skills
Associate’s degree in facilities management, building management, or business
2+ years of experience in facility or property administration
Advanced Excel skills for administrative reporting
Ability to remain professional under pressure
Strong planning, time management, and multitasking abilities
Ability to work independently and collaboratively
Proficiency in Microsoft Office
Experience with Corrigo or other CMMS/work order systems preferred
Strong written and verbal communication skills
Excellent organizational skills
Additional Details:
Location: Onsite
Hours: Monday-Friday, 8:00 AM – 5:00 PM
Pay Rate: $23/hour
FTE Environment: Large corporate organization
