Beacon Hill is seeking a highly organized Administrative & Operations Coordinator to support office leadership and day‑to‑day business operations in a fast‑paced, hands‑on environment. This role plays a critical part in maintaining operational rhythm, administrative consistency, and overall office effectiveness.

Position Details
Job Type: Full-time, Contract-to-Perm
Pay Rate: $20-$27 per hour (based on experience)
Schedule: Monday-Friday | Flexible hours (7:00 AM-4:00 PM, 8:00 AM-5:00 PM, or 9:00 AM-6:00 PM)
Work Arrangement: Onsite
Start Date: After interviews
Key Responsibilities
Administrative & Executive Support
- Provide daily administrative support to office leadership
- Manage company calendars, email inboxes, and shared spreadsheets
- Assist with internal projects and recurring administrative tasks
- Anticipate executive and operational needs and proactively address them
Office Operations & Front Office Support
- Serve as the front‑office point of contact, welcoming visitors and managing access
- Maintain organization across daily office workflows
- Coordinate office logistics, including supplies, lunches, morale activities, and events
- Support internal communications and announcements
Finance & Expense Coordination
- Manage monthly expense and receipt tracking
- Collect and submit American Express receipts and expense details
- Assist with invoice processing for employees and vendors
- Support payroll‑related coordination as requested
Sales & Operations Support
- Provide administrative support related to field sales activities
- Assist with credentialing, badge access, and sign‑in processes
- Support lab and operations teams as needed, including special projects
Communications & Projects
- Assist with internal newsletters and company communications
- Support special projects as responsibilities evolve
- Maintain organization across shared documents and systems
Systems & Tools
- Microsoft Office / Microsoft 365 (Excel, Outlook, Word)
- Shared calendars and spreadsheets
- Expense and receipt tracking tools
Qualifications
- High school diploma or GED required; college coursework or degree preferred
- 1-2 years of experience in an administrative, operations, or office support role preferred
- Strong attention to detail and organizational discipline
- Ability to manage recurring responsibilities with consistency and follow‑through
- Excellent written and verbal communication skills
- Comfortable working independently in a fast‑moving environment
- Basic Excel proficiency required; willingness to learn more is essential
- Professional, reliable, and proactive mindset
