The Administrative Assistant provides senior-level administrative and operational support to executive leadership and the Board of Directors. This role ensures smooth day-to-day operations, effective communication, and well-organized governance processes while handling sensitive information with discretion and professionalism.
Key Responsibilities
- Manage executive calendars, meetings, and priorities, serving as a central point of coordination.
- Draft, organize, and maintain correspondence, documents, and confidential records.
- Coordinate meetings, travel, and events, including preparation of materials and logistics.
- Act as a professional liaison between leadership, internal teams, and external partners.
- Track action items, deadlines, and follow-ups to support timely decision-making.
- Oversee general administrative operations for the executive office.
Board Support
- Provide administrative and logistical support for Board and committee meetings.
- Coordinate meeting schedules, agendas, materials, and technology needs.
- Record and maintain accurate meeting minutes and governance documentation.
- Ensure materials are distributed in compliance with governance requirements.
- Maintain confidentiality and professionalism in all Board interactions.
Qualifications
- 3-5 years of experience in administrative or executive support roles.
- Proven ability to handle confidential information with discretion.
- Strong organizational, communication, and time-management skills.
- High attention to detail and ability to manage multiple priorities.
- Proficiency with common productivity and collaboration tools.
- Bilingual Spanish preferred.
Physical Requirements
- Ability to work at a computer for extended periods.
- Occasional lifting of light materials and local travel as needed.
