In this role, you’ll provide essential administrative and secretarial support to attorneys, contributing to the smooth operation of our legal practice. The position combines specialized responsibilities with teamwork across our Tampa office and other firm locations. You will primarily support a designated group of attorneys while remaining available to assist others as needed.

Key Responsibilities

  • Prepare routine correspondence, memoranda, and legal documents, including contracts, agreements, amendments, and other transactional materials
  • Answer incoming calls professionally, take accurate messages, and manage communications related to legal matters
  • Oversee outgoing communications such as mail, FedEx deliveries, faxes, and interoffice correspondence
  • Maintain accurate electronic and hard-copy filing systems in compliance with applicable jurisdictional requirements
  • Anticipate attorney needs to improve workflow efficiency, including drafting documents in advance
  • Thoroughly proofread all materials to ensure accuracy and completeness prior to filing or distribution
  • Complete and submit client intake forms with attention to detail
  • Organize and maintain files for transactional matters
  • Track the status of active matters and follow up to ensure deadlines are met
  • Request pre-bills and statements, prepare them for approval, and distribute as directed
  • Monitor calendars, deadlines, and appointments on an ongoing basis
  • Coordinate logistics for meetings, closings, client events, and attorney travel
  • Assist with CLE compliance, presentations, training initiatives, and other non-billable activities
  • Build proficiency in practice group-specific tasks, including drafting correspondence, reports, spreadsheets, and transactional documents
  • Provide support to legal and administrative staff as needed
  • Act as a Notary Public when applicable
  • Perform additional duties as assigned

Qualifications

  • High school diploma required; bachelor’s degree preferred
  • Prior experience as a legal assistant required; five or more years strongly preferred
  • Transactional law, Private Client or Estate Planning experience highly desirable
  • Working knowledge of legal terminology, documents, and transactional processes
  • Advanced skills in MS Word, Outlook, Excel, and document management systems
  • Experience with NetDocs and e-filing platforms strongly preferred
  • Strong written and verbal communication skills
  • Exceptional attention to detail and organizational abilities
  • Proven ability to manage multiple priorities simultaneously
  • Strong client-service mindset and collaborative approach
  • Demonstrated initiative, flexibility, and resilience
  • Ability to work independently with minimal supervision
