Job Description:
Our client, a growing Venture Capital Firm in Austin, TX is looking for a Travel Liaison / Junior EA to support the executive team’s travel logistics and administrative operations. This position will report directly to the Chief of Staff and work closely with the Executive Assistant and Virtual Assistant to ensure travel schedules, logistics, and executive commitments run smoothly. This person will also effectively manage a wide range of administrative responsibilities while also supporting light operational initiatives. This may include meeting preparation, assisting with the improvement of internal processes, tracking project timelines, and helping ensure projects and day-to-day operations run smoothly.
This is a direct hire position requiring candidates onsite Monday – Friday from 8:30 am – 5:00 pm with the expectation to be available after hours as executive schedules require. Candidates should be comfortable operating in a fast-paced environment and managing multiple moving pieces simultaneously.
Job Responsibilities:

Regularly interface with high-profile professionals and partners when coordinating travel logistics, scheduling, and executive commitments

Collaborate closely with the Chief of Staff, Executive Assistant, and Administrative EA to coordinate travel planning and administrative priorities

Coordinate domestic and international travel logistics including flights, hotels, ground transportation, and detailed itineraries for the executive team

Monitor and adjust travel schedules in real time, ensuring executives are prepared for conferences, speaking engagements, media appearances, and company events

Assist with calendar coordination and scheduling logistics related to executive travel and external commitments

Break down complex travel plans or multi-layered schedules into organized, actionable steps

Communicate clearly with internal team members and external partners regarding logistics and timing

Maintain strong organization across multiple administrative systems and scheduling tools

Prepare meeting materials, agendas, and briefing documents for upcoming travel, events, and executive commitments

Track key project timelines and deadlines related to travel, events, and external engagements to ensure seamless execution

Assist with maintaining internal documentation, travel records, and operational processes to support team efficiency

Support light operational initiatives such as improving internal travel processes, organizing documentation, and maintaining shared planning tools
Qualifications:

3+ years in an administrative, travel coordination, executive support, or similar operational role

Experience supporting fast-paced executives, founders, or public-facing professionals preferred

Located in Austin, TX and willing to come onsite 5 days a week

Handles confidential and sensitive information without exception

Strong organizational skills with the ability to confidently multitask across competing priorities

Ability to break down complex logistical challenges into clear plans and next steps

Owns systems – comfortable across Notion, Slack, Zoom, and other operational tools

Available to assist with travel logistics and has reliable transportation
