Client Services Representative
Location: Mendota Heights, MN (Hybrid)
Schedule:
- Full-time, 8-hour workday, Monday-Friday
- Hours fall within operational coverage of 7:00 AM-5:00 PM – flexible 8 hour workday between these hours of operation.
- Occasional Saturday work required to support month-end activities
- Hybrid schedule: 2-3 days remote, 2-3 days onsite at Beacon Hill’s client’s Mendota Heights office
- Contract-to-Hire employment model
- Salary: $22 per hour
Job Summary
Beacon Hill’s client is seeking a Client Services Representative to serve as a key point of contact between external clients and internal operations teams. This role supports the day-to-day flow of information, data, and reporting that keeps business processes running accurately and efficiently. The ideal candidate is detail-oriented, responsive, and committed to continuous improvement across departmental workflows and procedures.
Key Responsibilities
- Prepare, generate, and distribute a variety of client-facing reports and data files, including remittance information, close-out documentation, status updates, and other required deliverables.
- Review, import, and process inbound client files such as direct payments, recalls, placements, data updates, and other routine or ad hoc submissions.
- Partner closely with internal operations teams by responding to requests for data, reporting, and insights that support client programs and collection efforts.
- Address external client inquiries by providing timely, accurate reports and requested information.
- Manage incoming and outgoing correspondence to ensure records are properly processed and maintained.
- Coordinate and process Power of Attorney documentation in accordance with established procedures.
- Assist with client audits by compiling requested files, reports, and supporting documentation as needed.
- Create and manage daily outbound mail files, including Compumail processing.
- Maintain and update employee movement records within internal network systems.
- Process and track bankruptcies, ensuring documentation and system updates are completed accurately.
- Fulfill document retrieval and delivery requests in a timely manner.
- Maintain and update complaint tracking logs to support compliance and reporting needs.
- Handle specialized file processing, including credit reports, bankruptcy scrubs, skip-tracing files, notice files, and other unique data sets.
- Provide cross-functional support to other departments when approved by the Director of Client Services.
- Document task-specific procedures and participate in cross-training efforts to ensure department coverage during planned and unplanned absences.
Qualifications
- 1+ year of experience with Microsoft Excel is required.
- Strong attention to detail and ability to manage multiple priorities.
- Comfortable working with reports, data files, and internal tracking systems.
- Clear written and verbal communication skills.
- Ability to work collaboratively across teams in a service-oriented environment.
- Experience in client services, operations support, or administrative roles preferred.
