Executive Assistant to Client Executives

Location: Richardson, TX (75081)
Schedule: Monday-Friday, 8:00 AM – 5:00 PM (Onsite)
Employment Type: Direct Hire

Position Overview

Our client is seeking an Executive Assistant to provide high-level administrative and operational support to two Client Executives (VP-level). This individual will play a critical role in keeping leadership organized, managing competing priorities, and ensuring day-to-day operations run smoothly.

The ideal candidate is proactive, detail-oriented, and comfortable working in a fast-paced environment while supporting multiple personalities and priorities.


Key Responsibilities

  • Manage complex and frequently changing calendars for multiple executives
  • Coordinate domestic travel arrangements, including detailed itineraries
  • Proactively identify and resolve scheduling conflicts
  • Manage executive email inboxes, including prioritizing and drafting responses
  • Prepare, edit, and proofread documents, presentations, and correspondence
  • Track deadlines, action items, and deliverables across various priorities
  • Support meeting logistics, including scheduling, agendas, notes, and follow-ups
  • Serve as a point of contact for internal and external stakeholders
  • Ensure executives are prepared and briefed for meetings and commitments
  • Maintain organized systems for documentation and records
  • Assist with office support as needed (phones, visitors, supplies)
  • Identify opportunities to improve processes and increase efficiency
  • Support ad hoc projects and operational tasks as needed

Qualifications

  • 3+ years of experience supporting executives in an administrative or EA capacity
  • Proven experience managing calendars, scheduling, and executive priorities
  • Strong proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint)
  • Excellent written and verbal communication skills
  • High level of organization and attention to detail
  • Ability to manage multiple priorities and meet deadlines independently
  • Strong judgment and ability to maintain confidentiality
