Beacon Hill Associates is seeking an Administrative Assistant to provide comprehensive administrative, operational, and analytical support within a professional office environment. This role supports day-to-day office operations, coordinates schedules and communications.
Assignment Details
- Duration: Contract-to-Perm
- Schedule: 35-hour work week (Monday-Friday) with 1-hour lunch
- Parking: Paid parking available onsite.
- Training: On-the-job training
Day-to-Day Responsibilities
Administrative & Office Support
- Provide administrative and clerical support to leadership, including drafting correspondence, coordinating meetings, preparing reports, and maintaining files and databases.
- Manage calendars, schedule appointments, coordinate meetings, and prepare meeting materials and minutes.
- Monitor office operations, maintain supplies and equipment, and coordinate with vendors or facilities as needed.
Customer Service & Communication
- Greet and assist visitors, staff, and external stakeholders with professionalism and courtesy.
- Serve as a point of contact for inquiries and direct requests to appropriate resources.
- Facilitate communication across teams to ensure smooth workflow and information sharing.
Financial & Operational Support
- Process purchase requisitions, invoices, travel requests, expense reimbursements, and procurement documentation in accordance with policies.
- Assist with preparing and monitoring departmental budgets and maintaining accurate financial records.
- Support data tracking, reporting, and documentation of operational processes.
Events & Project Coordination
- Coordinate logistics for departmental meetings, programs, and events.
- Assist with cross-functional projects, data compilation, and preparation of supporting materials.
- Identify opportunities to improve administrative processes and support workflow efficiencies.
Candidate Qualifications
- Associate degree or equivalent combination of education and experience required; bachelor’s degree preferred.
- 2+ years of administrative or clerical experience.
- Strong written, verbal, and interpersonal communication skills.
- Excellent organizational skills with strong attention to detail and ability to manage multiple priorities.
- Demonstrated professionalism, discretion, and commitment to teamwork and customer service.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); familiarity with systems such as Banner, PeopleSoft, Workday, or similar platforms is a plus.
