Document Process Analyst is responsible for managing, standardizing, and transforming enterprise-wide employee document processes to ensure accuracy, compliance, and scalability throughout the employee lifecycle. This role serves as a subject matter expert for document governance and document management systems (such as OnBase), partnering closely with HR, Compliance, Legal, and Technology teams to design standardized indexing, retention, and workflow practices. The Administrator leads document-related initiatives end to end-assessing current-state processes, identifying risks and inefficiencies, and implementing future-state solutions that improve data integrity, audit readiness, and operational efficiency. The role requires strong analytical skills, attention to detail, and the ability to influence cross-functional stakeholders, while ensuring confidential employee information is handled in accordance with regulatory and internal standards. The position also supports change adoption by providing guidance, documentation, and ongoing consultation as the organization evolves its document management capabilities.
Required Skills:
Must have at least 4 or more years experience in a process analyst, documentation processing analyst, administrative role
Willingness to work on hands on document scanning backlog
Experience helping determine the structure, standards for document retention structures, indexing rules, and lifecycle practices across an enterprise environment
Strong working knowledge of document management systems including classification, indexing strategies, workflow optimization, and system capabilities
Proven ability to analyze current-state workflows, identify inefficiencies and risks, and design scalable future-state processes that reduce manual work and improve data integrity
Ability to learn and document current process, determine process improvements needed and then implement improvements
Skill in leading initiatives from requirements gathering and testing through implementation and change adoption, while managing timelines, priorities, and deliverables independently
Strong focus on data integrity, audit readiness, regulatory compliance, and safeguarding sensitive employee information throughout the document lifecycle
Ability to partner effectively with HR, Compliance, Legal, Technology, and operational teams, influencing outcomes without direct managerial authority
Capacity to analyze complex, multi-variable data and convert findings into actionable insights and standardized solutions
Skill in supporting adoption of new standards and processes through consultative guidance, training materials, job aids, and serving as an escalation point for complex issues
Ability to clearly document standards, create process documentation, present recommendations, and communicate technical concepts effectively to all organizational levels
Exceptional detail orientation and organization to ensure accuracy, consistency, and reliability of employee documentation at enterprise scale
Desired Skills:
Ideal candidate would have experience and knowledge of enterprise document management & governance
Experience with OnBase a plus
Experience in the Healthcare industry OR experience supporting Human Resources a plus
