Recruiting for Executive Assistant to support a prestigious client in the Atlanta area. Duties include:
Executive & Administrative Support
- Provide high-level administrative support to members of the executive leadership team, managing complex and ever-changing calendars, meetings, and strategic priorities.
- Coordinate and prioritize scheduling requests across multiple stakeholders, ensuring alignment with business objectives and executive commitments.
- Prepare executives for meetings by organizing agendas, briefing materials, presentations, and supporting documentation.
- Manage high-volume correspondence, draft communications, and identify urgent matters requiring executive attention.
- Track key action items, deadlines, and follow-ups to ensure seamless execution of business initiatives.
Executive & Stakeholder Relationship Management
- Serve as a trusted liaison between executive leadership, internal teams, clients, board members, and external stakeholders.
- Facilitate professional interactions and communications while maintaining a high level of confidentiality and discretion.
- Coordinate executive meetings, presentations, and special engagements with exceptional attention to detail.
- Maintain accurate records, contact information, and key business data across internal systems and platforms.
Meeting & Event Coordination
- Coordinate complex domestic and international meeting schedules across multiple time zones.
- Prepare meeting materials, agendas, briefing packets, and post-meeting follow-up documentation.
- Support the planning and execution of executive offsites, board meetings, leadership events, and company functions.
Travel & Expense Management
- Manage detailed domestic and international travel arrangements, including itineraries, accommodations, transportation, and logistics.
- Process executive expense reports and reimbursements accurately and in accordance with company policies.
Operations & Strategic Business Support
- Assist with day-to-day operational and administrative functions supporting executive leadership.
- Manage special projects, reporting initiatives, and executive-level presentations.
- Partner closely with departments including Finance, Human Resources, Legal, Compliance, and Operations to drive cross-functional priorities.
- Support organizational initiatives and strategic projects while maintaining a high degree of organization and efficiency.
Qualifications
- 5+ years of Executive Assistant experience supporting C-suite executives within financial services or professional services
- Bachelor’s degree preferred.
- Advanced proficiency with Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, and Teams; CRM experience is a plus.
- Demonstrated ability to manage competing priorities and complex schedules in a fast-paced executive environment.
- Exceptional written and verbal communication skills with a polished, professional presence.
- Proven ability to handle confidential information with the highest level of discretion.
- Proactive, resourceful, and capable of anticipating executive needs before they arise.
