Office Facilities Administrator

Fully Onsite in San Francisco M-F 8AM-5PM

Responsibilities:

  • Serve as the first point of contact for incoming calls, routing callers to the appropriate team members or voicemail and asking clarifying questions to ensure efficient direction.
  • Greet clients and visitors in a warm, professional manner, ensuring they have a positive experience from arrival. Assist with coats, escort guests to meetings when appropriate, provide refreshments, and promptly notify firm representatives of their arrival.
  • Coordinate daily interactions with external vendors, including building management and service providers.
  • Support office operations by ordering supplies, maintaining a polished and organized office environment, helping coordinate internal meetings, and assisting with various administrative needs as they arise.
  • Assist with onboarding activities for new employees and contractors to ensure a smooth transition into the organization.
  • Manage incoming and outgoing mail, including sorting deliveries and supporting employees with shipping and mailing requests.
  • Work independently with limited supervision while contributing positively to a collaborative team environment.

Qualifications:

  • Strong interest in administrative support, office operations, and continuous process improvement.
  • Exceptional attention to detail and organizational skills.
  • Ability to build effective working relationships and collaborate across teams.
  • Comfortable managing multiple priorities, balancing competing demands, and interacting with a wide range of individuals in a fast-paced environment.
  • Flexible and adaptable, with the ability to take on ad hoc projects and administrative responsibilities as needed.
